Booking FAQs

What is the difference between the in-person and live virtual?

In-person ticket

This allows entry to the QEII Centre and access to in-person networking and content from seven learning tracks. This includes:

  • Access to six tracks plus the main stage sessions
  • Access to two keynote plenary sessions
  • A mix of in-person fringe activities within and outside of the building
  • Sponsor insight sessions and access to the multi-stand Expo arena
  • Refreshments and lunch
  • Post-event resources from speakers featured during the day

Live Virtual ticket

This gives you access to a full day of livestreamed content from three tracks: the Main stage, the Strategy, Innovation & Income Generation track and the Career Development, Leadership & Wellbeing track, which is a total of 30 sessions. This hosted programme includes:

  • Access to interactive livestreamed learning sessions from three separate programme tracks.
  • Networking session each day.
  • Livestreamed vox pops: Hosted by fundraising expert and broadcaster Anne Hughes.
  • Virtual Expo area: access all of our Sponsors and Exhibitors, including offers to delegates.
  • Mindfulness content: online content virtual delegates can access to take a break between sessions.
  • Audio visual recordings: Around a month after the event you will have access to audio visual recordings of the complete virtual programme to enjoy on demand for 3 months.
  • One-to-one coaching: An opportunity to book a virtual one-to-one coaching slot with a certified, charity-experienced coach.

Members

I don’t know my membership number

You don’t need your membership number to book onto our events unless you are using the guest booking functionality and are an employee of a corporate or organisational member – in which case you will need your employer’s member number.

So long as you are booking during your annual membership period and your membership has been paid, you will automatically be given the membership rate.

I’ve been asked to make a booking on behalf of my organisation but I don’t know the log in details and the administrator for the account is away

So long as you are registered and your professional information says that you work for the organisation and has the head office address, you can make the booking. Organisations don’t have an account, only individuals who are associated with that organisation.

I’m a member but I’m only seeing non-member rates

Do you have more than one Account? Check you’re logging in with the correct one

Is your information up to date? You need to log into your Account and make sure you are showing the correct Professional information and your email address is up to date – you can change this should you need to by going into the security area within your Account.

If you still can’t get the correct rate, it could be that you’re not linked up to the right organisation record or your membership is out of date. To check these please email us at convention@ciof.org.uk.

I can’t remember my login details

No problem we can sort that for you, just email us at convention@ciof.org.uk.

Non-members

What does Continue as Guest mean?

Continue as Guest is for people who haven’t registered with the Chartered Institute and is principally for non members. You can only book one delegate using this method and payment has to be by card.

Wrong rate

I am booking on behalf of an organisational or corporate member but some of the delegates are being offered the non-member rate

If employees of organisational or corporate members are given the non-member rate at the time of booking, this means that either they haven’t registered and need to do so: Chartered Institute of Fundraising - Register to create your account (ciof.org.uk) or they haven’t given us their professional information. In the latter case, please ask the delegate to log into their account and update their professional information. They should use the postcode of the head office of the organisation which may be different to the location where they actually work. Please make sure they select the correct address and organisation name from the list which is offered once the postcode has been entered.

If you are still being offered the non-member rate, please send an email to convention@ciof.org.uk giving us the full name and email address of the delegates who are receiving the wrong rate and we will look at what is causing this error.

Earlybird

I want to make an earlybird group booking but I don’t know how many tickets I need yet. Can I let you know later and still have the earlybird rate?

Unfortunately we don’t allow this. You will need to book your earlybird tickets during the earlybird period to achieve this discounted rate. This year earlybird opens on 11th March 2024 and closes at 23:59 on 8th April 2024.

I booked 5 tickets at the earlybird rate. Earlybird has closed but I now need another ticket. Can I amend my booking?

We are unable to accommodate this sort of change and ask that you make another booking for the additional ticket.

Changes to bookings

If I overbook a group booking, can I get a refund for any day tickets I no longer require?

Refunds for any tickets are in line with our terms and conditions (Short courses and events). At our discretion, we may allow a refund if the event is sold out and there is a waiting list meaning we can resell your unused places.

I booked a delegate onto the event, but they can no longer attend. Can I change this booking to a different delegate?

Yes you can do this up to a week before 3rd July. We will need to know the name and email address of the delegate who can no longer attend and the name, email address, job title, organisation and special dietary/accessibility requirements of the replacement delegate. Please note, dependent on bookings, we may not be able to change the day of the ticket, but we can honour like for like exchanges. Both day tickets can only be transferred to one delegate and cannot be split.

You will also have to pay any difference in cost, e.g. if the delegate was a member and the new delegate isn’t. We will not refund the difference where the original delegate was a non-member and the new delegate is a member. Please see our terms and conditions (Short courses and events).

I booked 4 tickets but now need another 4. Can I add these to my original booking to claim the 10% discount?

The 10% discount applies to a single booking of 5 or more days, e.g. 5 x 1 day tickets, 2 x both day tickets and 1 x 1 day ticket etc. We are unable to accommodate adding additional tickets to an existing booking.

Group Bookings

What are group bookings?

Group bookings allow an organisation to book a number of 1 day passes to attend Fundraising Convention In-Person or Virtual without having to enter delegate details at the time of booking. You can book up to 50 x 1 day passes in one go using this method.

The booker of a group booking needs to be the person managing the booking and the person who is going to add the delegate details as this is done through the booker’s account. Instructions on how to add delegates will be sent to the booker.

Delegates have to be added and confirmed by the booker no later than close of business on Friday, 31st May 2024 – after this date any changes will need to be sent to convention@ciof.org.uk

I work for an organisational or corporate membership and I’m booking for a number of colleagues and getting a mix of member and non-member rates when I use Add attendee

Check your colleagues have registered and said they’re working for your organisation using the same address as your organisational or corporate membership. If they haven’t registered, we don’t know they work with you!

I’m a booker for a group booking. I’ve entered delegate details via my account but I accidentally confirmed them and now I need to change one. What can I do?

Email us at convention@ciof.org.uk giving the details of what you want to change and we will be happy to help you.

Why do Add group bookings end in May?

We need to ensure we have all delegate information for these bookings and this gives us time to confirm final details with the booker.

Joining Instructions and the CIOF App

When will delegates receive joining instructions?

Joining instructions will be sent out to all delegates approximately 1 week before the event.

It is a good idea for delegates to register to our App, CIOF 360, which is available on Google Store and Apple Store. Delegates should register using the email address used in their booking.

The app will contain full details of the event including information about speakers, exhibitors, sponsors, sessions and a full timetable once these have become available. The app also gives delegates the opportunity to network. Initial emails to delegates come from the app, so please ensure that your team can receive emails from the domain @rdmobile.com.

Sharing passes/tickets

I have a two day ticket and pass but can only attend on one day now. Can I give my ticket to a colleague so that they can attend on the day I can’t?

The short answer is no! We would be happy to provide your colleague with a one day ticket, but please don’t give your pass to anyone else. For safeguarding and safety reasons, we need to know that the person wearing a pass is who the pass says they are. Also, the pass contains a QR code which can be scanned to give consent to Exhibitors and Sponsors to contact the pass holder with information about their products and services so if you use someone else’s pass, you could miss out on information you really want. If you can’t attend both days but have a two day pass and would like a colleague to benefit from your place, then please come to Registration at the event or notify us by emailing convention@ciof.org.uk prior to the event so that we can help you.
